Offboarding closes accounts. It does not automatically change what ordinary files an employee already downloaded.

Offboarding changes system access. Protected document access gives the team another control for selected files already in circulation.
An offboarding checklist disables accounts, removes access to systems, and collects equipment. It usually cannot change what was already downloaded to a personal device, synced folder, or email attachment.
That is how customer lists, forecasts, roadmaps, and proposals can remain available after a person leaves.
Most employees did not copy files with bad intent. They used them to do the job. But disabling an account does not close an ordinary file that already sits outside that account.
Contracts and policies still matter, but neither performs a technical access change on the file itself.
Offboarding and document access revocation belong in the same checklist. A protected document can check the permission assigned to its recipient when it is opened. When that access is revoked, the protected document is no longer available through that permission.
This is a control for protected material. It does not retrieve an unprotected export, prevent a screenshot, or remove information an employee has already copied elsewhere.
Start with the document types that would create the clearest risk outside the business: customer information, pricing, financial models, roadmaps, and sensitive HR documents.
Protect them before sharing, then include the corresponding access revocation in the normal offboarding process.
The aim is not to ban legitimate work or force every file into a separate storage system. It is to give selected sensitive documents an access decision that can change when the employment relationship changes.
Close the accounts, then change access to the protected documents that should no longer be available.
