How to send a quote that cannot tour procurement

A price quote circulating from a buyer out to competing vendors.

Buyers routinely forward quotes to competing vendors to negotiate, and a sent PDF circulates indefinitely. To prevent it, send the quote as a link with a set expiry and a cap on opens. The price is readable during the negotiation and stops opening afterwards, so it cannot become next quarter’s benchmark.

When your best price reaches a competitor within days, nothing has gone wrong from the buyer’s point of view. Circulating your number is how a professional buyer does their job, and a procurement team that did not do it would be underperforming.

The number outlives the deal

A price is not a fact about your company. It is a fact about one scope, at one volume, under one set of commercial terms, at one moment.

Stripped of that context and pasted into a comparison sheet, it becomes something much simpler and much worse: this is what they charge.

It comes back when your costs have risen, when the scope is larger, when the terms are worse. It comes back in negotiations you are not part of, because the consultant who saw it advises three other buyers in your sector. A price you gave in 2024 can still be setting your floor in 2027.

Two controls, and the second is the one nobody uses

Sending the quote as a controlled link gives you an expiry date and a cap on opens.

The expiry is the obvious one. Set it to the end of the negotiation window you actually offered. Prices are quoted as valid until a date already, so the document simply stops matching the commitment you never intended to extend.

The open cap is the underused one. A quote that opens five times covers the people evaluating it. It does not cover being passed around a procurement function for a year. If your contact needs more, they ask you, which is a conversation rather than a loss.

What the buyer experiences

A link that opens. No account, no software, no password, on a laptop or a phone.

If they forward it inside their organisation during the evaluation, it still opens for those people, because that is a legitimate part of buying. What changes is that after the date you set, it stops opening for everyone, including whoever it reached that you never met.

Next quarter starts from zero

The practical result is that each negotiation begins from what the work is worth now, not from the most aggressive number you ever put in writing.

That is worth more than it sounds. Most companies discover their pricing floor was set years ago by a deal they wanted badly, in a document they forgot they sent.

The quote opens for the people you sent it to, a set number of times, until a date you choose. After the negotiation ends, so does the document. Next quarter’s negotiation starts fresh, not from your last number.
