How do you run a tender or pitch without every bidder keeping your brief?

Send the brief as a protected share behind an NDA. Each bidder verifies their email, reads the agreement and signs before the brief opens. You set an expiry date, see who opened it, and end access for the bidders you do not select. The NDA covers what they remember. The file stops opening.

Three bidders at separate tables with sealed envelopes around a central brief, one envelope open and the others still sealed.
Let every bidder see the brief, then close it for everyone you do not choose.

A tender or pitch brief says who the work is for, what it must achieve, what it can spend and when it launches. To get strong responses you send it to several bidders at the same time, and each reads it closely.

One wins. All of them keep the brief.

Why does the brief stay with everyone?

A brief sent as an attachment stays with every bidder who received it. The one you pick gets to work. The others keep your strategy, your budget range and your timing, in a folder you do not control. Some of those bidders also work with companies close to yours. Nobody has to behave badly for this to matter.

What does NakodaX change?

With Document Protection, the NDA comes before the brief. Each bidder verifies their email with a code, reads the agreement, types their name and agrees. Only then does the brief open. You receive the signed record. You can use a standard NDA or upload your own.

You set an expiry date, see who opened the brief and when with analytics, and end access for the bidders you did not select. A forwarded reader has to ask for access.

How do you set it up?

  1. Protect the brief and the supporting files.
  2. Turn on the NDA for the share and choose the standard text or upload your own.
  3. Share by email with each bidder separately, and set an expiry that matches the bidding window.
  4. Watch who opens it.
  5. When you decide, revoke the shares of the bidders you did not select.

What does this not do?

The NDA is for email shares, and it needs a plan that includes it. The signed record is evidence of agreement, not an electronic signature. The file stops opening, but nothing removes what a person remembers. The stories of the tender you did not win and the brief the losing agencies kept show the whole picture.

The takeaway

NDA first, brief second, and end access for the bidders who lost.
